What is the wine club in Cepaos?

The Wine Club module lets you create and manage a subscription program for your customers. Members receive periodic shipments of selected wines, and you manage everything from Cepaos: plans, subscribers, shipments and billing.

Prerequisites

Boutique plan or higher (the module is an add-on for lower plans).
Commercial module enabled in Settings > Modules.
At least one product/wine loaded in the system.

Enable the module

Go to Settings > Add-ons > Wine club.
If your plan includes it, the module activates immediately. If not, you can add it from the same screen.
Once active, the Wine Club option appears in the sidebar (General tab).

Configure the club

1. Create subscription plans

Go to Settings > Wine Club and click + New plan.

Fill in:

Frequency	Monthly, bimonthly, quarterly or semi-annual
Number of bottles	How many bottles each shipment includes
Price	Amount per shipment (in your country's currency)
Description	Text members see when subscribing
Store discount	Discount percentage for additional purchases (optional)

You can create several plans with different frequencies and wine tiers.

2. Configure shipments

For each plan, define:

Included wines: select the wines for each shipment. You can fix them or let the winemaker choose month to month.
Cutoff date: day of the month when the selection closes and shipments are prepared.
Logistics: shipping method (mail, own transport, pickup at the winery).

3. Configure billing

Cepaos integrates with the payment system to charge automatically:

Charges are processed according to the plan frequency (monthly, quarterly, etc.).
If a charge fails, the system retries automatically and notifies the member.
You can see the status of each charge from the club panel.

Manage subscribers

Add a member manually

Go to Wine Club > Members tab.
Click + Add member.
Fill in: name, email, phone, shipping address, selected plan.
The member receives a welcome email with their subscription details.

Subscription from the web

If you have the club landing page configured, customers can subscribe directly. The signup form creates the member in Cepaos automatically.

Member states

State	Meaning
Active	Active subscription, charges up to date
Paused	Member requested a temporary pause (not billed or shipped)
Overdue	Failed charge pending resolution
Cancelled	Subscription cancelled permanently

Pause or cancel

Pause: the member can pause for a set period. You can do it manually or the member from their panel (if enabled).
Cancel: cancellation is permanent. The member's history is kept in case they reactivate in the future.

Prepare shipments

Shipment flow

Wine selection: before the cutoff date, define the wines for the next shipment for each plan.
Shipment generation: Cepaos automatically generates the shipment list with each member's data.
Preparation: mark each shipment as "Prepared" as you pack the boxes.
Dispatch: record the dispatch with a tracking number (if applicable).
Delivery: mark as "Delivered" when the member confirms receipt.

Shipping labels

You can export shipping labels to PDF to stick on the boxes. The export includes member name, address, shipment contents and order number.

Club metrics

From the Wine Club panel you can see:

Active members: current count and monthly trend.
Recurring revenue: the club's MRR (Monthly Recurring Revenue).
Churn rate: percentage of members who cancel per month.
Pending shipments: shipments in the current period not yet dispatched.

Frequently asked questions

Can I have more than one club?

Yes, you can create multiple plans that work as club "tiers". Each plan has its own price, frequency and wine selection.

Can members choose their wines?

In the current configuration, the winemaker selects the wines for each shipment. Member-choice selection is on the roadmap.

How do I handle shipments to other regions?

Cepaos records the shipping address and generates the labels, but you contract the transport directly with the logistics operator of your choice.
