How to invite a consultant winemaker to your winery

What consultant winemaker access is

If you work with an external winemaker, you can give them direct access to your winery's data in Cepaos — labs, fermentation curves, traceability, compliance — without spreadsheets or exports. The consultant uses their own free account: they pay nothing, they don't take up a seat on your team, and there's no extra cost for you.

You always keep control: you choose the access level when inviting, and you can revoke it whenever you want.

Where to invite

1. Go to Settings → Team.
2. Scroll to the Invite consultant winemaker section.
3. Enter the consultant's email (the same one they signed up — or will sign up — to Cepaos with), choose the access level, and send.

Only the winery's administrator or owner can invite and revoke.

Read only vs. Advisor

In no case can the consultant modify your winery's critical data: if they attempt an action that isn't allowed, the app blocks it with a clear message.

What happens after you invite

• If the consultant already has a Cepaos account: access is immediate. They receive an email with a direct link to your winery.
• If they don't have an account yet: they receive an invitation email (valid for 14 days) that guides them to create their free consultant account and accept the access. When they accept, you get a notification email.

The consultant sees your winery in their "My wineries" list and enters with one click. All their activity is logged under their own user.

Confidentiality

The consultant sees only your winery's data while they're inside it. They don't see other organizations' data, and the other wineries they advise can't see yours: each winery is an isolated space.

Revoking access

In Settings → Team, in the consultants list, use Revoke access. The effect is immediate: your winery disappears from their list and they can't get back in. If you later want to work with them again, invite them again with the same email (you can change their access level when re-inviting).
