Getting started with Cepaos
Step-by-step guide to set up your winery, register your first vineyard block and start operating in Cepaos.
Welcome to Cepaos
Cepaos is the winery management platform built for wine producers worldwide. This guide walks you through setting up your account and getting to work in under 15 minutes.
1. Create your account
Go to cepaos.com and click Create your account. Enter your email and a password, confirm your country and plan, and pay to activate the account (pay-first — there is no free trial). If you prefer to see Cepaos first, book a free guided 30-minute demo.
Once you confirm your email, you'll enter the initial setup assistant (onboarding).
2. Set up your winery
Onboarding guides you through four steps:
- Winery details: trading name, legal entity, tax ID and address. If you have a wine authority registration, enter the registration number — Cepaos uses it to link your movements to the required declarations.
- Plan and billing: choose the plan that fits your volume. You can change plans at any time from Settings.
- Active modules: enable the modules you need (Vineyard, Cellar, Laboratory, Commercial, etc.). Modules can be turned on or off later from Settings > Modules.
- Invite your team: add your winemaker, vineyard manager or administrator. Each user gets a role with specific permissions (see the Roles and permissions article).
3. Register your first vineyard block
Once inside the dashboard, go to the Vineyard tab in the sidebar and click Blocks.
Create a block
- Click + New block.
- Fill in the details: name, area (ha), main variety, rootstock, planting year and training system.
- If you have the coordinates, you can draw the block polygon on the interactive map. This enables automatic area calculation and geo-referenced visualization.
- Save. The block appears in your list and on the map.
Add cadastral data
From Blocks > Cadastre you can link each block to its official parcel reference. This is useful for regulatory declarations and for exporters who need to certify parcel origin.
4. Your first field-book entry
The Field book is your daily vineyard log. To create an entry:
- Open Field book in the sidebar.
- Click + New entry.
- Select the block, the date and the activity type (irrigation, pruning, spray application, general observation).
- Add any notes you need — product quantity applied, weather conditions, phenological observations.
- Save. The entry is linked to the block and the period, ready for lookup and traceability.
5. Register your first vessel
If you operate a cellar, go to the Cellar tab and open Vessel master.
- Click + New vessel.
- Fill in: identifier (number or name), type (steel tank, concrete tank, barrel, etc.), capacity in liters and location within the cellar.
- Save. The vessel is now available to receive grapes and record rackings and movements.
