Scope of service, corporate structure and operational boundaries

Cepaos prefers transparency over overstatement. This page documents what the platform does, what it does not replace, and how it handles your data. For additional questions, contact us at hello@cepaos.com.

Scope of service

What Cepaos does NOT do

We know the boundary of the platform, and we know where a licensed professional or a physical analysis remains indispensable.

Cepaos does not replace your CPA or tax attorney

Cepaos exports QuickBooks IIF, QuickBooks Online CSV, GAAP-compliant journals and the trial balance for your CPA. The federal income-tax return (Form 1120, Form 1065 or Schedule F), state income-tax filings, and any IRS or state controversy work remain with your licensed professional.

Cepaos does not initiate TTB or state DTC license applications on your behalf

Cepaos prepares documentation, tracks application status and surfaces renewal deadlines for every TTB Basic Permit, state Direct Shipper license and wholesaler designation. The application itself is signed and submitted by the winery's licensed corporate officer or its alcohol-beverage attorney. Cepaos never represents itself as the applicant.

Cepaos is a Delaware LLC with multi-region hosting

Cepaos LLC is incorporated in Delaware. European data is processed in the EU under SCC 2021/914 Module 2 (Schrems II), with a GDPR Art. 28 DPA available on request. US data is processed in a LATAM-first infrastructure region; a US-East opt-in deployment is available on request for customers with a US-residency requirement.

Cepaos does not physically ship wine samples to TTB labs or state ABC boards

Cepaos documents analytical certificates, schedules sample submission, manages correspondence with the TTB Beverage Alcohol Laboratory and the state ABC board, and tracks the certificate of analysis through the chain of custody. Physical packaging and freight of the sample bottle remain with the winery or its licensed common carrier.

Corporate structure

Legal seat and multi-region hosting

Cepaos LLC is a Delaware limited liability company with its registered office in the United States. The platform serves wineries across North America, Europe, Latin America and Oceania under one codebase with locale-aware compliance packages.

European customer data is processed in the EU under Standard Contractual Clauses 2021/914 Module 2 (Schrems II). US customer data is processed in a LATAM-first infrastructure region; a US-East opt-in deployment is available on request for customers with a US-residency requirement. A Data Processing Agreement under GDPR Article 28 is available on request.

Fiscal integrations

Bring-Your-Own model for QuickBooks Online, Avalara and Pay.gov

Cepaos integrates with QuickBooks Online V3 via OAuth 2.0 and with Avalara AvaTax V2 via REST API. Both integrations follow a Bring-Your-Own-Subscription model — the winery’s QuickBooks Online and Avalara accounts remain owned by the winery. Cepaos never resells the subscription nor takes a margin on the upstream invoice.

TTB Form 5120 federal excise payment integrates with Pay.gov for electronic submission. The licensed corporate officer of the winery signs and releases each filing under 27 CFR Part 24 Subpart F. Cepaos archives every submission for the seven-year retention period.

For analytical samples required by the TTB Beverage Alcohol Laboratory or a state ABC board, Cepaos documents the certificates of analysis and manages the correspondence. Physical packaging and freight of the sample bottle remain with the winery or its licensed common carrier.
