How to register a harvest
Step by step to record grape reception in the cellar, from picking through weighing and vessel assignment.
Why register the harvest in Cepaos?
Harvest registration is the starting point of all wine traceability. Every kilo of grapes entering your cellar is linked to its block of origin, the picking date and the initial analytical parameters. This data feeds:
- The stock balance declaration required by your wine authority.
- Lot traceability from grape to bottle.
- The production-cost calculation by variety and block.
Prerequisites
Before registering your first harvest, make sure you have:
- At least one block created under Vineyard > Blocks.
- At least one vessel created under Cellar > Vessel master (if you're going to assign a destination).
- The picking data: date, block, kilos, Baumé or Brix degrees (optional but recommended).
Step by step
1. Open the Harvests module
In the sidebar, under the Vineyard tab, click Harvests.
2. Create a new harvest
Click + New harvest. The registration form opens.
3. Fill in the required data

| Destination | Destination vessel (optional at this step) |
4. Add analytical parameters (optional)
You can record the grape parameters at reception:
- Baumé / Brix degrees: sugar concentration.
- Total acidity: expressed in g/L of tartaric acid.
- pH: acidity level.
- Sanitary condition: notes on botrytis and overall health.
These values are later used in the Laboratory module and in quality reports by block.
5. Record weight from the scale
If your cellar has an integrated scale, Cepaos can receive the weight reading directly. Contact support to configure the integration.
If weighing is manual, simply enter the kilos in the corresponding field.
6. Assign a destination
You can assign the grapes to a destination vessel at the moment of registration or do it later from the Cellar module.
- If you assign a destination, Cepaos automatically generates an inbound movement in the cellar book.
- If you don't assign a destination, the grapes remain "pending assignment" and you can resolve it whenever you want.
7. Save
Click Save. The harvest appears in the list with:
- Status: Registered (with destination) or Pending (without destination).
- Link to the block of origin.
- Estimated liters (calculated with a conversion factor configurable in Settings).
Edit or void a harvest
You can edit a registered harvest by clicking the edit icon. If you need to void it (for example, a data-entry error), use the Void button — Cepaos records the void in the cellar book to keep the balance intact.
Important: a voided harvest is not deleted; it keeps a "Voided" status for audit purposes.
Split harvest
If the same grape batch is spread across several vessels, register one harvest per fraction. They all share the same block of origin and date but differ in kilos and destination.
Reports
From Reports you can review:
- Total harvested by variety and block.
- Kilos trend across vintages.
- Yield per hectare (if you entered the block area).
Frequently asked questions
Can I register grapes bought from third parties?
Yes. Create a block with type "Third party" and enter the supplier data. Traceability is maintained the same way.
Are kilos automatically converted to liters?
Yes, using a configurable conversion factor (default 0.75 L/kg for reds, 0.70 for whites). You can adjust it in Settings > General.
